We are seeking a highly organized, dependable, and mission-minded Executive Assistant to support our CEO and volunteer leadership team. This remote volunteer role will help keep priorities, communications, meetings, and projects moving forward so our team can focus on serving our community and advancing the ministry’s mission.
This is an excellent opportunity for someone who enjoys bringing clarity to busy work, anticipating needs, and providing thoughtful behind-the-scenes support in a faith-centered environment.
Responsibilities:
- Support the CEO: Help organize priorities, follow-ups, and administrative tasks so key work is completed on time.
- Coordinate Scheduling: Assist with scheduling meetings, confirming availability, preparing calendar details, and communicating changes or reminders.
- Prepare for Meetings: Help develop agendas, gather relevant materials, take notes when needed, and track agreed-upon action items.
- Manage Follow-Through: Maintain task lists and project updates; send respectful reminders and help ensure commitments are not overlooked.
- Organize Information: Keep documents, meeting notes, contacts, and shared resources organized and easy for the team to access.
- Assist with Communications: Draft, proofread, or coordinate routine emails, messages, and updates on behalf of the CEO or leadership team, as assigned.
- Support Projects: Help monitor ministry initiatives, content activity, volunteer tasks, and project timelines; flag delays, questions, or next steps.
- Coordinate with Volunteers: Communicate professionally and kindly with volunteers, writers, designers, and other collaborators to help work move forward.
- Handle Information with Care: Treat internal information, volunteer details, and leadership discussions with discretion and confidentiality.
- Improve Organization: Recommend practical ways to strengthen workflows, tracking, and communication across the team.
Qualifications:
- Strong organizational, time-management, and follow-through skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities, use sound judgment, and work independently in a remote environment.
- A proactive, dependable, and detail-oriented approach to supporting others.
- Comfort using email, calendars, word-processing tools, shared documents, and online collaboration platforms.
- Ability to handle confidential or sensitive information with discretion.
- Previous experience as an executive assistant, administrative assistant, project coordinator, ministry leader, or similar support role is preferred but not required.
- Familiarity with project-management tools, such as Asana, Trello, or similar platforms, is helpful.
- Familiarity with Christian fundamentals and Scripture, and a commitment to the mission and values of Walking in Step with God Ministries.
